    Responsibilities

    The Administrative Assistant provides legendary Customer Service by providing administrative support. The Admin coordinates overall department administrative functions as assigned:

     

    WORK ACTIVITIES/CONTEXT:

    • Provides assistance under minimal supervision.
    • Answers calls, relays and takes messages, transfers calls, gives information and provides assistance to callers, screens calls and places calls for Directors.
    • Personally handles problems and questions. Receives visitors. Opens, sorts, screens, and responds to incoming mail.
    • Takes notes in meetings, as requested.
    • Composes, types, and edits correspondence.
    • Compiles data and prepares special reports, gathers and summarizes data for Executive level presentations.
    • Makes arrangements for meetings as directed.
    • Maintains calendars ensuring that there are no meeting time conflicts.
    • Establishes meeting time, secures location or sets up phone line/webinar, and contacts attendees.
    • Establishes and maintains files and other information for reference and control purposes.
    • Keeps track of invoices, budget files, and assists in the compilation of variance reports and reconciles Company credit card.
    • Operates P.C. equipment utilizing word processing, spreadsheet, database management, and presentation software.
    • Operates copy machine, FAX equipment, and other standard office equipment.
    • Must be able to meet any physical ability requirements listed on this description.
    • May perform other job duties as directed by Employee’s Leaders

     

    Qualifications

    BASIC QUALIFICATIONS:

    • High School Diploma, GED or equivalent education required.
    • Must be at least 18 years of age. 
    • Must have authorization to work in the United States as defined by the Immigration Reform Act of 1986.

    EDUCATION:

    • High School diploma, GED, or equivalent required. College coursework would be an asset.

    WORK EXPERIENCE:

    • Prior Administrative Assistant experience preferred. Experience supporting multiple individuals, Leaders, Sr. Leaders and/or team highly desired. 
    • Strong Microsoft Suite and PowerPoint experience preferred.
    • Strong customer service expeirence highly desired. 
    • Experience with event planning or team event planning a plus. 

    LICENSING/CERTIFICATION: N/A

     

    SKILLS/ABILITIES/KNOWLEDGE/WORK STYLE:

    • Ability to type and/or use a computer keyboard with sufficient speed to meet demands of job.
    • Must be able to operate multi-line telephone with sufficient courtesy and speed.
    • Must be able to master several P.C. software packages.
    • Able to read documents, follow instructions, learn and understand office procedures.
    • Must be able to perform mathematical computations.
    • Must have judgement sufficient to handle and resolve office administration tasks.
    • Must possess excellent organizational skills.
    • Mental demands include, but are not limited to: detailed work, confidentiality, reading documents, problem-solving, stress, reasoning, verbal and written communication, customer contact, multiple concurrent tasks, and constant interruptions.
    • Must work under tight time constraints to accomplish assignments and projects.
    • Ability to meet the public, and work under stressful situations.
    • Must be able to effectively communicate verbally by telephone and face to face.
    • Must be able to comply with Company attendance standards as described in established guidelines.

    OTHER QUALIFICATIONS:

    • Ability to work in an on-call environment and flexible work schedule to support the needs of the business as needed.
    • Must maintain a well-groomed appearance per Company appearance standards as described in established guidelines.
